Director of Med Spa Operations

JOB DESCRIPTION

JOB PURPOSE:

The Spa Director plans, directs, and oversees the day-to-day activities of the spa facility. They are responsible for hiring, directing and training staff, overseeing budget and financial activities, as well as managing client advertising, marketing and events. Additionally, the Spa Director will contribute to growth and development plans of marketing and sales efforts to help drive product sales, spa business, create facility operational policies and manuals, addressing financial discrepancies, handling various employee and customer issues, as well as perform daily walkthroughs of the facility to ensure that everything is in order.

 

KEY RESPONSIBILITIES:

  •  Responsible for the oversight and management day-to-day activities of the spa.

  • Will interview, select job applicants, supervise, discipline, mentor and give performance evaluations for Spa employees; Verify staff credentials, such as educational and certification requirements.

  • Responsible for onboarding, managing and training staff; Inform staff of job responsibilities, performance expectations, client service standards, or corporate policies and guidelines.

  • Train staff in the use or sale of current and new products, programs, or activities offered by the facility; Ensuring that they are trained on all relevant topics, to include medical procedures, customer service skills, company policies and procedures.

  • Perform various human resources functions to include: Staff scheduling; Employee records; Develop staff service and retail goals and ensure goal achievement; Assess and evaluate employee performance; Evaluating the quality of services provided by employees and offering feedback to help them improve their performance; Handle employee relation issues; Review benefits/payroll information.

  • Collaborate with Owner to develop an annual budget & forecast to define, plan and meet sales targets; Prepare monthly, quarterly, and annual reviews, forecasts and analyses of activities, costs, operations, and P & L to determine progress toward states goals and objectives; Report on sales metrics and suggest improvements to meet sales targets.

  • Oversee and maintain financial accounting records; Perform accounting duties, such as recording daily cash flow/balancing, preparing bank deposits, or generating financial statements; Ensure all bills/invoices are paid timely; Review payroll prior to uploading to accountant.

  • Manage procurement and resource allocation; Inventory products and order new supplies; Maintain supply or equipment inventories; Order materials, supplies, or equipment as required.

  • Reviews with Owner, the operational plans to meet requirements for sales; Oversee and manage the team, setting, tracking, and achieving business goals and objectives, implement best practices and conduct sales training as required.

  • Develop and maintain relationships with vendors, suppliers, and other outside contacts to ensure that the spa has access to high quality products and services.

  • Supporting new business development and growth opportunities by developing all operation and merchandising procedures; creating new business and experiential opportunities through creative concepts and development; Create, maintain, and oversee a marketable and profitable Spa business while meeting/exceeding financial goals.

  • Research, develop and implement methods to increase customer engagement and sales; Use customer feedback to generate ideas about new features or products.

  • Review all current processes and procedures to identify possibilities to increase efficiencies and then develops process plans, change management and SOPs to recognize any changes.

  • Ensure all activities, operations, policies, and confidentiality procedures are carried out in strict compliance with company and Federal processes/regulations as well and comply with The Aesthetic Place policies and procedures.

  • Ensuring that the physical environment is clean and well maintained so that clients receive high quality services in a relaxing setting; Ensuring that all equipment is working properly and maintained to high standards of sanitation and sterilization; Monitor operations to ensure compliance with applicable health, safety, or hygiene standards; Direct facility maintenance or repairs.

  • Ensuring that all staff members have access to continuing education opportunities in order to stay up to date with industry trends; Maintain industry knowledge or certifications by participate in continuing education classes.

  • Always provide excellent customer service for all internal and external customers of the operations; Respond to and resolve customer inquiries or complaints. Provide solutions for customer concerns and continually focus on customer service as our top priority.

REQUIRED QUALIFICATIONS, SKILLS, AND EXPERIENCE:

  • Bachelor’s degree in Business, health-related field or an equivalent combination of education and directly relevant experience may be considered.

  • Minimum 2-3 years’ experience in a Med Spa environment preferred.

  • Minimum of 1-2 years of management &/or operations experience in a Med Spa environment preferred.

  • Sound knowledge of Med Spa services, products, etc. preferred.

  • Med Spa related certifications a plus.

  • Understanding of human resource policies and procedures.

  • Understanding of financial reporting, budgeting, profit/loss, etc.

  • Proficient in MS Office Products including Word, Excel, and PowerPoint.
